Estate agencies & block management firms

Your team is not paid to re-key data.

We build tailored automations that plug into the tools you already run. They take over the data entry, the chasing and the paperwork, and hand your team back the hours it costs them.

Two trades, two working days

We don't work "for property". We work for both of you.

An estate agency and a block management firm share neither the same days, nor the same tools, nor the same irritations. Neither do the automations.

More listings followed up, less typing

Between the portals, the transaction software, the inbox and the phone, an agency re-keys the same information four or five times. That is where the selling time goes.

What costs you time

  • Portal enquiries land in an inbox nobody watches at the weekend
  • Matching new instructions to registered buyers happens from memory, or not at all
  • Viewing reports get written in the evening, when they get written
  • Sole agency agreements expire without anyone seeing it coming

What we automate

  • Every incoming enquiry qualified and assigned within minutes, around the clock
  • Automatic matching between a new instruction and the buyers already registered
  • Viewing report pre-drafted from a two-minute voice note
  • Renewal and prospect chasing triggered on its own, at the right moment

Meetings, arrears and works, without the re-keying

One manager looks after dozens of buildings within the same working day as everyone else. What overflows is not the decision making, it is the paperwork.

What costs you time

  • Preparing one general meeting takes several days per building
  • Arrears are chased by hand, escalation step by escalation step, file by file
  • Comparing three quotes means re-typing everything into a spreadsheet
  • Owners ring up about questions answered ten times already

What we automate

  • Notice, attendance sheet and minutes pre-drafted from your own records
  • Arrears chased at the right escalation step, with the history filed on its own
  • Quotes pulled out of incoming PDFs into a comparison the committee can read
  • Immediate answers to routine enquiries, sourced from your own documents

How it works

Three stages, in this order

You don't build what you haven't measured, and you don't maintain what you haven't built. Every stage produces a deliverable you keep, even if you stop there.

01

Audit

A measured picture of your processes, and the list of automations worth doing, ranked by gain and by effort.

  • Interviews with negotiators, property managers and the accounts team
  • Process mapping and measurement of the time actually spent
  • Inventory of your tools and what they can export
  • Deliverable: costed use cases, prioritised, with their implementation price
What you keep

A costed report: the automations worth doing, prioritised, with their build effort.

02

Implementation

We build the automations the audit selected. They attach to your existing tools; nobody changes software.

  • Automations built on open source tools, hosted by you or by us
  • Connected to your core software, your mail and your document stores
  • Acceptance testing with your team, on your real files
  • Documentation and training, delivered with the system
What you keep

Automations running on your real files, documented and exportable.

03

Maintenance

The automations run, are monitored, and evolve with your business. A silent failure costs more than no automation at all.

  • Monitoring of every run, with an immediate alert on failure
  • Repairs when a portal or a third-party tool changes underneath
  • Adjustments and small evolutions included each month
  • Quarterly review of what runs and what deserves to be added
What you keep

A monitored system, repaired when a third-party tool changes, plus a quarterly review.

Launch programme

We are building our first references

The first firms to commit get launch terms, in exchange for the right to name the engagement once it ships. Places are limited by what we can follow properly at the same time.

What fires it, what runs, what comes out

Four chains set out end to end: two on the agency side, two on the block management side.

What runs, end to end

  1. New instruction
  2. Criteria read
  3. Matches found
  4. Message drafted
  5. Negotiator approves

From notice of meeting to minutes

The paperwork around a general meeting drops from several days to a few hours of proofreading.

Frequent questions

What people ask before signing

The questions are rarely technical. They are about risk. Here are our answers.

Do you have references?

We are starting this practice, so we have no publishable engagement yet. That is exactly why we commit to things you can check rather than to names: the audit is not invoiced if it identifies nothing worthwhile, the automations are documented and reversible, and the first firms to commit get launch terms in exchange for the right to name the engagement. You judge on the method, on the demos, and on a first conversation that ties you to nothing.

Do I have to change my core software?

No. That is the whole point: the automations plug into what you already use, whether transaction or management software, mail, or document storage. Your team keeps working in the same screens. If your software offers no export and no interface at all, we tell you during the audit rather than after the invoice.

How much of my team's time does it take?

The audit needs roughly one hour of interview per person, plus read access to your tools. Implementation needs a few rounds of acceptance testing on your real files: budget one to two hours a week for the main contact. Beyond that, it is our work, not yours.

Where does my data go?

Wherever you decide. The automations can run on your own infrastructure, in which case nothing leaves your premises, or on ours, hosted in France. Processing is documented for your GDPR register. No data belonging to your clients or owners is used to train anything.

What if you are gone in two years?

That is the right question to put to any supplier. The automations run on open source tools, not on a black box we own. They are documented and exportable, and can be hosted on your own infrastructure. Another provider can take them over, or your own IT person. You are locked into nothing.

Thirty minutes to understand your organisation, your tools and what costs you the most time. By the end you will know whether there is anything worth automating, and if the answer is no, we will say so.
